Employee Recognition Program Planner

Enter a row for each milestone tier or award type, written as label, groups, pieces per group. The Service Year Awards planner adds the rows and any spares into one program total. Only counts are needed. Employee names, hire dates and eligibility stay in your HR records, where the program owner can approve them.

Build your plan

Use a row for each department or milestone. For example: Service awards | 12 | 1. Keep recipient names in your private roster; this planner needs only counts.

The decision behind a service recognition cycle

An employee moving to another office changes the packing destination, not the number of service awards. Keep eligibility approval with the program owner. Use one row per person and milestone, and separate the public inscription from confidential employment records.

Keep with your brief: Milestone eligibility, preferred name, dedication and receiving team.

Reconcile two service milestones

Eighteen five-year recipients and six ten-year recipients each receive one piece. One shared team plaque is a third, separate row. No spare pieces are assumed.

One row per category: label | groups | pieces per group
Five-year service | 18 | 1 Ten-year service | 6 | 1 Team appreciation | 1 | 1
Additional spare pieces
0

Calculated example result

25 total pieces Five-year service: 18 × 1 = 18 Ten-year service: 6 × 1 = 6 Team appreciation: 1 × 1 = 1 Additional spares: 0

Understand what the result means

Sum of each category’s groups × pieces per group, plus entered spares

The result is 25 physical pieces. It does not establish that any person qualifies for a milestone, and it does not create an annual recognition calendar. Use the department or program owner’s approved eligibility list, then attach the final names and wording to those 25 order positions.

What does a full year of recognition add up to?

An HR manager at a logistics company wants the whole year on one page before budget season. She enters four rows. Five-year awards: eleven employees, one piece each. Ten-year awards: six employees, one each. Twenty-year awards: two employees, one each. Employee of the month: twelve winners, one Employee of the Month Acrylic Award each. Eleven, six, two and twelve make thirty-one pieces, with no spares added. The service rows will be ordered together in the fall. The monthly row is spread across the year, so it will be twelve small requests on one approved layout. She keeps the planner's total for the budget and sends Service Year Awards the service rows first.

Retirements are hard to predict, but known ones belong in a row. Add a line for them and update it as notices come in.
Monthly awards counted once
A monthly program needs a piece for every month it runs. Enter the number of months as the groups.
Names typed where counts belong
The planner needs numbers only. Keep the roster of names and dates in your HR system.

Service Milestone Plaque

Use the same format across a service program and vary the milestone inscription. A five-year and a twenty-year award can belong to the same visual family while carrying different messages about the person's contribution.

Questions about this planner

Should each milestone tier be its own row?

Yes, whenever tiers use different pieces or sizes. Separate rows let you see how many of each item the year needs, and they match the way a quote is laid out. If every tier receives the identical plaque, one row is enough, though separate rows still help with budgeting.

Can the planner handle several locations?

It can if you use a row per location and tier, for example Five-year, North branch. That gets long for a large employer, so some HR teams run the planner once per site. Either way, the totals show how many pieces each destination should expect when parcels are sent.

Which buying guide should you read next?

All buying guides
Building a recurring service-award reorder file

Separate the reusable service-award design from each cycle’s approved recipients, quantities and delivery allocations so a recurring order cannot replay stale personal data.

Designing long names into an employee award

Preserve the recipient’s approved full display name and adjust the design around it, using actual-size proofs rather than a character limit as a fit guarantee.

Employee photo plaques: separate photo holders or printed image panels

Choose whether the photograph should remain a separate replaceable component or part of the finished recognition artwork, with a clear image window, inscription area and update responsibility.

Five-year and ten-year award tiers compared

Choose a consistent award family, then give each approved service milestone a clear distinction in wording, presentation or design.
